Food-Grade Lubricants and Maintenance Materials

Lubricants and maintenance compounds selected, stored and applied so machinery can operate reliably while foreseeable incidental contact with food is prevented or lawfully controlled.

Definition and scope

Maintenance materials include bearing and chain lubricants, greases, hydraulic and heat-transfer fluids, release agents, anti-rust films, thread compounds, sealants and other chemicals used to keep equipment functional. They are not automatically food ingredients or processing aids. The control objective is to prevent contact where possible and to ensure that any foreseeable incidental contact is within the exact legal and technical conditions for that product.

H1, H2 and H3 categories

NSF's voluntary registration programme describes H1 lubricants for locations where incidental food contact is possible, H2 lubricants for locations with no food contact and H3 soluble oils for defined uses. HT-1 and HT-2 distinguish heat-transfer fluids with or without incidental-contact scope. The code on the label matters, but the current listing and the product's stated limitations must still be checked. A supplier's general food-grade wording is not enough.

United States incidental-contact rule

21 CFR 178.3570 identifies permitted routes and conditions for lubricants with incidental food contact and requires the amount used to be the minimum needed for the technical effect. It does not authorise deliberate addition or routine leakage. The often-quoted 10 mg/kg condition is tied to specified mineral-oil provisions within the rule; it should not be presented as one blanket release limit for every lubricant formulation or contact event.

International and certification boundary

H1 registration and ISO 21469 certification are widely used assurance routes, but neither creates a single worldwide legal permission. ISO 21469 addresses hygiene in formulation, manufacture, use and handling of incidental-contact lubricants and excludes substances used as product additives or in deliberate direct contact. The food business must identify the rules and customer requirements that apply in its jurisdiction and to the actual equipment use.

Selection

Select the lubricant for the machine duty and contamination risk: load, speed, temperature, water washout, salt, acid, cleaning chemicals, oxidation stability, seal compatibility and application method. A product acceptable for incidental contact may still perform poorly and leak if it is wrong for the bearing, gearbox or hydraulic system. The approved list should identify the exact trade product, category, machine points and restrictions.

Storage, identification and dispensing

Store approved maintenance chemicals apart from unapproved industrial chemicals and preserve their original identity. Grease guns, oil cans, pumps and refill containers should be dedicated and clearly labelled. Colour coding can support control but should not replace the product name and application point. Decanting without identity, using one gun for incompatible products or keeping obsolete containers creates a substitution risk.

Application and hygiene

Use the minimum effective amount at the specified point and protect exposed food during maintenance. Remove excess lubricant where the procedure requires it, clean contaminated guards or framework and complete pre-operational inspection before release. Over-lubrication can migrate by gravity, centrifugal force, air movement, wash water or direct transfer. A registered product can still adulterate food when used at the wrong location or quantity.

Leak response and product assessment

A leak, failed seal or unexpected drop in reservoir level requires more than topping up. Stop or control the source, identify when the failure may have begun, segregate potentially affected lots and determine the contact route and amount. Assess the exact product documentation and applicable limit or prohibition. If reliable exposure cannot be established, appearance and smell alone cannot justify release.

Records and change control

Maintenance records should identify the material, lot where relevant, machine, application point, quantity or action, date and person. Supplier documents, safety data, registrations and approvals need version control. A reformulation, delisting, substitute brand, new seal material or changed operating temperature can require reassessment. Consumption trends can reveal hidden leakage or over-application and should be investigated when materially abnormal.

Small-scale practice

A small workshop can maintain a short approved-lubricant map for grinders, mixers, stuffers and chamber equipment. It should distinguish points where no food contact is possible from points where incidental contact is foreseeable. Use original labelled containers, dedicated applicators and conservative quantities. Domestic cooking oils are not universal machine lubricants, and an unknown lubricant should not be used near exposed product merely because it appears colourless or odourless.
